Privacy Policy

Draft dated October 23, 2026 · Effective date: [EFFECTIVE DATE — set on publication]

This Privacy Policy explains how Monay & Company LLC, a Wyoming limited liability company doing business as Monay & Associates and operating the HVAC Revenue Recovery brand (“we,” “us,” or “our”), collects, uses, shares and protects personal information when you visit our website, request a demo or an AI callback, call our AI receptionist demo line, or otherwise interact with us. It also explains the choices you have.

1. Scope

This policy applies to personal information we collect through this website and related pages, our forms, our demo phone line and AI receptionist demonstrations, email and phone communications with us, and our sales and onboarding process. It applies to prospective and current business customers (HVAC contractors and their staff) and to anyone else who contacts us.

When we provide services to an HVAC contractor (our “client”), we may also process information about that client’s own customers. That processing is described in Section 7.

2. Information we collect

Information you give us

  • Contact and business details: name, business name, phone number, email address, service area, and similar details you enter in a form or share with us.
  • AI callback requests: your preferred callback window, how you heard about us, and whether you checked the AI telemarketing consent box, together with the disclosure version shown to you, the date and time of your submission, the phone number you entered, and a record of the submission as evidence of consent.
  • Demo bookings: the date and time you select and any notes you add.
  • Communications: the content of emails, messages and calls with us, including information about your business, call handling, scheduling and software tools.
  • Billing information (clients only): billing contact details and payment information, which is processed by our payment processor. We do not store full card numbers.

Information collected during calls with our AI receptionist

If you call our demo line or receive an AI callback, we and our voice-technology providers may collect your phone number, call date/time and duration, an audio recording of the call, an automatically generated transcript, and a summary or structured notes produced from the conversation (for example, name, business, ZIP code, and the reason for your call). Callers are told at the start of the call that they are speaking with an AI assistant and that the call may be recorded.

Information collected automatically

When you visit the website we may automatically collect device and usage information such as IP address, browser type, pages viewed, referring page, and approximate location derived from IP address, using cookies and similar technologies (see Section 8).

Information from other sources

We may collect publicly available business information (for example, a business name, listed phone number, website and service area from public directories or the business’s own website) to identify HVAC businesses that may be interested in our services. Collecting a publicly listed business number is not consent to AI or automated telemarketing calls, and we do not treat it as such.

3. How we use information

  • To respond to inquiries, schedule and deliver demos, and place callbacks you request;
  • To place AI-assisted or automated calls only where you have given prior express written consent (see Section 4);
  • To prepare proposals, onboard clients, and provide, maintain, support and improve our services;
  • To send transactional messages such as confirmations, reminders and service notices;
  • To send marketing emails where permitted by law, with an unsubscribe option in every message;
  • To review call recordings and transcripts for quality, safety, training of our staff, and to improve our call scripts and configurations;
  • To keep records of consent and opt-outs, and to honor do-not-call and revocation requests;
  • To secure our systems, prevent fraud and abuse, and comply with legal obligations; and
  • To process payments and maintain business records.

[ATTORNEY TO CONFIRM: whether any call recordings or transcripts may be used by us or our vendors to train or improve AI models, and the corresponding disclosure/opt-out.] Unless and until this is confirmed, we do not permit our vendors to use your call content to train their general-purpose models where the vendor offers that option.

4. AI calls, call recordings & consent

Outbound AI calls. We place AI-generated, prerecorded or automated telemarketing calls only to people who have given prior express written consent, for example by checking the unchecked-by-default consent box on our AI Callback form. Providing a public business number, visiting our website, replying to an email, or booking a demo does not by itself authorize those calls. Consent is not a condition of purchase.

Consent records. When you give consent, we store the disclosure version you saw, a timestamp (Eastern and UTC), the source of the consent, the phone number you entered, and a record of your submission.

Revoking consent. You may revoke consent at any time and by any reasonable means, including telling the caller you revoke consent, replying STOP to a text message (if applicable), or contacting us using the details in Section 14. We will process revocation requests promptly and within the time required by law, and add your number to our internal do-not-call list.

Disclosure and recording. Our AI receptionist identifies itself as an AI assistant and does not claim to be human. Calls may be recorded and transcribed. Some states, including Pennsylvania, require the consent of all parties to record a call; we provide notice at the start of the call, and if you do not wish to be recorded you may end the call and contact us another way. [ATTORNEY TO CONFIRM: recording-notice script and all-party-consent handling.]

Calling hours. We place calls only during permitted calling hours for the recipient’s location and honor federal, state and internal do-not-call requirements.

5. Text messages

We send text messages only where you have separately agreed to receive them. Message frequency varies. Message and data rates may apply. Reply STOP to opt out or HELP for help. We do not sell, rent or share mobile phone numbers or text-messaging opt-in data with third parties or affiliates for their marketing purposes. Text-messaging originator opt-in data and consent are not shared with any third parties except service providers that help us deliver the messages.

6. How we share information

We do not sell your personal information, and we do not share it for cross-context behavioral advertising. We share personal information only as follows:

  • Service providers that process information on our behalf under contractual confidentiality and data-use restrictions, such as our CRM and marketing-automation platform, telephony and voice-AI providers, calendar and scheduling tools, email delivery, website hosting, analytics, and payment processing;
  • Our clients, when you are their customer and you contact them through a system we operate for them (see Section 7);
  • Professional advisers such as lawyers, accountants and insurers, under confidentiality obligations;
  • Legal and safety: when we believe disclosure is required by law, subpoena or legal process, or is necessary to protect the rights, property or safety of us, our clients or others;
  • Business transfers: in connection with a merger, acquisition, financing or sale of assets, subject to this policy; and
  • With your direction or consent.

7. Data we process for clients

When we set up an AI receptionist, booking workflows or website for an HVAC contractor, we process information about that contractor’s callers and customers (for example, names, phone numbers, service addresses, the reason for a service call, appointment details, and call recordings or transcripts) on the contractor’s behalf and according to their instructions. In that role we act as a service provider/processor, and the contractor is responsible for its own privacy notices and for obtaining any consents its customers must give. If you are a customer of one of our clients, please contact that business directly with privacy requests; we will assist them in responding.

We do not use client customer data to market our own services and do not sell it.

8. Cookies & analytics

We use cookies and similar technologies that are necessary for the site to work, to remember preferences, and to understand how the site is used. Where we use analytics or advertising tags, we will list them here and provide any opt-out required by law. [TO CONFIRM AT LAUNCH: list of analytics/pixel tools in use, if any.] You can control cookies through your browser settings; blocking some cookies may affect site features. Where required, we honor Global Privacy Control (GPC) signals as an opt-out request.

9. Retention

We keep personal information only as long as needed for the purposes described above, including to provide services, maintain business and tax records, resolve disputes, and enforce agreements. Consent and opt-out records are kept for at least as long as needed to demonstrate compliance with telemarketing laws [ATTORNEY TO CONFIRM retention period, e.g., at least 5 years]. Call recordings and transcripts are retained for [RETENTION PERIOD] unless a longer period is required by a client agreement or law. When information is no longer needed, we delete or de-identify it.

10. Security

We use reasonable administrative, technical and physical safeguards designed to protect personal information, including access controls, vendor review, and encryption in transit where supported. No method of transmission or storage is completely secure, and we cannot guarantee absolute security. If we learn of a security incident affecting your personal information, we will notify you as required by law.

11. Your choices & rights

  • Calls: revoke AI/automated calling consent or ask to be placed on our internal do-not-call list at any time.
  • Texts: reply STOP to any text message.
  • Email: use the unsubscribe link in any marketing email. We may still send transactional or service messages.
  • Access, correction and deletion: you may ask us to access, correct, or delete personal information we hold about you, or to obtain a copy of it.

Depending on where you live, you may have additional rights under state privacy laws, such as the right to know what personal information we collect, to opt out of sale, targeted advertising or profiling, and to appeal a decision about your request. We will not discriminate against you for exercising your rights. To make a request, contact us as described below. We may need to verify your identity before responding, and you may use an authorized agent where permitted by law. If we deny your request, you may appeal by replying to our decision. [ATTORNEY TO CONFIRM which state laws apply given company size and data volume.]

12. Children

Our website and services are intended for businesses and adults. We do not knowingly collect personal information from children under 13 (or under 16 where applicable). If you believe a child has provided us information, contact us and we will delete it.

13. Changes to this policy

We may update this Privacy Policy from time to time. We will post the updated version on this page with a new effective date and, where changes are material, provide additional notice as required by law. Changes do not reduce the protection of consent records collected under an earlier version.
